Role Overview
The Senior Payroll / Accounting Specialist is responsible for leading and executing advanced accounts receivable and cash management functions, including customer invoicing, collections, reconciliations, and process oversight. This role serves as the primary payroll processor and acts as a subject matter expert for AR-related activities.
Reporting directly to the Accounting Manager or Controller, the ideal candidate brings strong technical accounting expertise, analytical rigor, sound judgment, and the ability to operate independently while partnering cross-functionally with internal teams, customers, and leadership.
Core Responsibilities
- Serve as the primary processor for ADP payroll, ensuring accuracy, timeliness, and regulatory compliance; review calculations, reconciliations, and reports, resolving discrepancies and employee inquiries with discretion
- Oversee daily cash application (checks, ACH, wire transfers) and perform complex reconciliations between cash receipts, bank activity, and the general ledger
- Lead resolution of unapplied cash, complex payment issues, and billing discrepancies in collaboration with sales, operations, and legal teams
- Review and approve customer invoices for alignment with contractual terms, billing schedules, and accounting policies; maintain audit-ready documentation
- Manage AR aging and lead collection efforts for high-risk and strategic accounts, building customer relationships to facilitate timely payments and recommending escalation strategies per company policy
- Contribute to month-end close activities related to AR, cash, commissions, and payroll accruals; prepare and review reconciliations, journal entries, and supporting schedules
- Calculate, review, and process monthly sales commissions
- Perform treasury functions including wire transfers, ACH uploads, cash forecasting, and oversight of employee expense reimbursements
- Support internal and external audits related to revenue recognition, billing, and receivables
- Ensure adherence to internal controls, SOX requirements (if applicable), and company accounting policies
- Identify and implement process improvements, automation initiatives, and system enhancements
- Mentor junior accounting staff and participate in special projects as assigned
Required Background
- Bachelors degree in Accounting, Finance, or Human Resources preferred
- Experience supporting ADP payroll operations
- Five or more years of progressive experience in accounts receivable, billing, or general accounting
- Strong technical understanding of GAAP, internal controls, and financial processes
- Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, data analysis tools)
- Experience working with large ERP systems
- Proven ability to analyze complex financial data and implement practical solutions
- Excellent written and verbal communication skills with the ability to collaborate across departments
- Strong organizational and time-management skills; able to manage competing priorities independently
- High level of integrity and discretion in handling confidential financial and payroll information
- Ability to pass pre-employment drug screen and background check
